Web-based Contact Management Application
Area of Technology: Development and Deployment of Web-based Contact Management System
Company Name: Global Village Consulting, Inc.
Website URL: Sales Tracker
Overview of Business:
Description of Problem: After using a web-based commercial contact management system, GVC wished to replace this with one that would be more economical and provide more flexibility than the one currently being used. GVC wanted to enable employees to easily update and record contact information and any correspondence with current or potential clients. Thus, GVC determined that building a custom designed program would best solve these issues.
GVC Role:
Project Description:

GVC.SalesTracker is webs based application making it possible for employees to access and record or update contact data no matter what their location. This enables employers to allow their staff to work from home, different offices, while on the road, etc. and still enable all to access the current information. Because employees can immediately access, update or add contact information, create or perform `to do` tasks, or email and record correspondence immediately there is no need to wait for synchronization of data. Templates can be created and tagged for use by others or only the user who created them. This enables standard information to be sent out quickly and easily. A chronological running list of all correspondence and notes for particular organization or individual within an organization enables any staff member to easily bring themselves up to speed on any given issue. Tasks or `To Do` activities can be created and assigned to any user within the system. Notification of tasks assigned to other users can be issued if so desired.

Information can be entered for an Organization as well as individuals within that organization. Opportunities can also be created and tied to either an organization and or an individual. Tasks and Opportunities can easily be assigned status levels, probabilities, and stages for easy management.

Description of Solution:

Version 1.0 development was performed using WebObjects 5.2 and Eclipse. Code development made use of the Direct to Web tool, enabling the application to be easily created in much less time and effort. This version concentrated on the most crucial areas of the desired features so that it could be put into production quickly. Thus, this version included an import tool to take data from an existing source and getting it into the GVC.SalesTracker system.

This version featured an administrative area where user could be created and assigned system privileges. Those users with administration privileges could also manage and update pick list options available for such things as Status, Stages, etc. Users can create and manage Accounts or organizations which can be managed by a selected user through assignment. Contacts can also be created and managed, as well as being tied to an Account and assigned to a selected user. Tasks and Opportunities can be created and managed, and are assigned to an Account and/or Contact and user.

Correspondence can be tracked by creating log notes or sending emails directly from the system. Email templates can be created to facilitate entry. The system makes use of pop-up windows for calendaring and searches.

Future features planned are reporting and enhancement of existing features

The current version is deployed on a Mac X Serve running an OSX 10.3 operating system, an Apache webserver, and a Frontbase J2EE database.
